Koka Academy Mentorship Pairing Automation Developed by: Kingsley Ohaneme & Ibiangake (IB) Nyong

The Problem

Koka Academy is dedicated to helping their students master n8n, a powerful automation tool. However, many students struggle to understand n8n concepts, which slows their learning progress. The academy needed a way to efficiently connect these struggling students (mentees) with more experienced students (mentors) who have adequate knowledge of n8n based off on what has been taught by the tutor. The existing manual process of pairing mentors and mentees was slow, error-prone, and difficult to scale as the student body grew.

The Solution

The goal was to design and implement an automated system that would:

• Collect and process information from both mentors and mentees via forms.
• Use intelligent matching to pair mentees with the most suitable mentors based on skills and interests.
• Automate communication by sending personalized emails to mentors and mentees.
• Manage access permissions to shared mentorship resources.
• Provide real-time updates and summaries to program coordinators via Slack.

We created this AI Agent workflow on n8n for the mentorship pairing process.

This was the first step we took, by creating a flow chart to show our thought process of the workflow architecture.
